Integrative Medical Assistant

The Integrative Medical Assistant is responsible for providing both administrative and clinical support, thus tying the patient experience from entry to exit together. On the administrative end, they will ensure the front office communication, scheduling and flow run efficiently. They support the clinical staff by performing a multitude of patient care tasks. The Medical Assistant works directly with patients, in both an administrative and clinical fashion, and reports directly to the Functional Medicine Physician Assistant. The responsibilities and requirements of this role may continue to change as the practice grows.

Job Responsibilities
Clinician Support

  • Escort patients to exam rooms, ensures patient forms filled accurately and to completion, measure & record vital signs, including weight, blood pressure, pulse, oxygen saturation, respiratory rate, temperature; understand when out-of-range numbers require immediate notification to clinician.
  • Perform medical assistant procedures under supervision of physician or physician assistant (clinical staff), such as EKG.
  • Must be certified in Phlebotomy / able to perform bloodletting.
  • Assist clinical staff in exam rooms.
  • Manage patient medical visit information in database according to HIPPA regulation.
  • Provide instructions to patients as instructed by clinical staff by phone or in person.
  • Keep exam rooms stocked with adequate medical supplies, maintain instruments, prepare sterilization as required.
  • Keep lab kits in stock, and maintain appropriate inventory levels. Set up new accounts as instructed by the clinical staff.
  • Maintain active CPR certification throughout employment.
  • Be knowledgeable of which kits are needed at appropriate times, ex. gynecological procedures vs. skin biopsies.
Front Desk Support
  • Greet all patients upon arrival with exceptional customer service qualities.
  • Verify patient financial accounts prior to patient seeing the clinician (ex. membership status).
  • Record add on services during the visit, such as injections or EKGs
  • Accurately Check In/ Check Out for visit duration record keeping
  • Collect and reconcile payment according to Superbilling procedures. Provide patient with copy of Superbill. Be comfortable with medical billing and coding procedures.
  • Arrange patient needs for Disability Paperwork, Prior Authorization, Intravenous Infusion, etc, according to company policies.
  • Schedule patient follow-ups according to practice manager’s instruction.
  • Ensure all related reports, labs and information is filed and is available in patients’ medical records prior to their appointment.
  • Appropriately follow up with all lab related items: schedule pick-ups in a timely manner, communicate with lab as needed to ensure results are received promptly.
  • Take telephone messages and provide feedback and answers to patient/physician/pharmacy calls.
  • Communicate messages to appropriate team member in a timely manner.
  • Triage and process messages from patients and front office staff to physicians and physician assistants.
  • Document all required medical, billing, and lab information in patient’s chart.
  • Complete billing, notes, scanning, and front desk procedures daily.
  • Complete additional front desk administrative duties; including but not limited to; keeping copies of necessary forms, creating new forms as needed, answering phones, patient billing, and general patient communication.
  • Ensure accurate recording of vital signs.
  • Dispense and mail out orders by patients in the Nutraceutical and Pharmaceutical dispensary, including clinicians' instructions.
Additional
  • Maintain patients' rights by ensuring confidentiality of personal, health, and financial information.
  • Maintains operations by following policies and procedures; reporting needed changes.
  • All other duties or projects as assigned by the Practice Manager and Functional Medicine Physician Assistant.
  • Experience in, or understanding of, Functional Medicine or Integrative Medicine is an asset, but not required.
SKILL REQUIREMENTS
  • 3+ years of experience as a licensed Medical Assistant
  • Active certification in CPR
  • Able to perform EKGs, Phlebotomy
  • Proficient in medical office systems and procedures
  • Excellent time management skills and multitasking ability
  • Excellent communication skills (written and verbal)
  • Ability to handle challenging situations and maintain composure, such as upset or anxious patient
  • Ability to manage diverse personalities, challenging situations and a fast-paced environment
  • Solid knowledge of Microsoft Excel and Word, electronic medical records, and point of sale software
  • Strong aptitude with technology
  • Ability to work a flexible schedule, including weekend days as needed
COMPENSATION

The Medical Assistant role is a part-time, hourly role working 2-3 days per week. Work days are 8 - 10 hours depending on patient load. As the practice grows, additional shifts may become available. A possibility for promotion exists for exceptional employees.

The Integrative Medical Assistant hourly rate is $16.50 - $20.50 per hour commensurate with experience, paid on a biweekly basis

Wave Integrative Medical Center is established to treat patients within an Integrative Internal Medicine approach for complex chronic, multi-system diseases. Our pioneer program addresses Tick Borne Infections by treating patients who have been diagnosed with complex cases of Lyme disease (borreliosis) such as neuro-Lyme, as well as other significant vector-borne pathogens. Our services have expanded to offer an Advanced Pain Solutions program, as well as Functional Medicine. In 2017, our group launched a personalized genomics program as well as an integrative nutrition and health-consulting program. Importantly, a distinguishing feature of Wave Integrative Medical Center is the coordination of care among team members and services that span conventional medicine and eastern health modalities, as well as energy medicine services such as FDA-approved Cold Laser treatments for chronic pain relief.
